Sales Secretary – Automotive (Mercier, QC)
Position based in Mercier, Quebec. Within the automotive industry, you will provide exemplary administrative and organizational support, serving as the key interface between the sales team, clients, and partners.
Mission Contribute to the efficiency of the sales department through rigorous administrative management, effective scheduling organization, and a high-level customer experience. You will be the administrative point of contact ensuring the accuracy of information and adherence to internal procedures.
Key Responsibilities
- Welcome clients and respond to phone and email inquiries professionally and discreetly.
- Plan and coordinate appointments, vehicle demonstrations, and test drives; synchronize salespeople’s calendars and showroom availability.
- Prepare, verify, and transmit sales documents (quotes, contracts, technical sheets, supporting documents) ensuring their accuracy and compliance.
- Enter and update client data in the CRM; maintain rigorous follow-up on leads and ongoing files.
- Collaborate with the finance and service departments for processing files (financing, insurance, warranties) and obtain necessary documents within deadlines.
- Track orders and deliveries; ensure traceability of documents and follow up with clients when necessary.
- Produce sales reports and communications for the sales team; prepare support materials for internal presentations.
- Perform general administrative tasks (mailing, filing, document management, equipment management) to support daily activities.
Desired Profile
- Education: High school diploma or equivalent. Training in secretarial work, administration, or sales is appreciated.
- Experience: Exposure to the automotive environment is an asset; administrative experience preferred.
- Skills: excellent organization, versatility, and attention to detail; customer service orientation and impeccable communication; fluency in French (spoken and written); functional English; proficiency with office tools (Excel, Word, Outlook) and ability to quickly learn management/CRM systems; good time and priority management.
- Personal Qualities: team spirit, discretion, autonomy, proactivity, and sense of responsibility; ability to handle multiple tasks simultaneously and ensure security and confidentiality of information.
