Job Offer: Sales Secretary / Administrative Assistant – Toyota Brossard (Groupe HGrégoire)
HGrégoire, a well-known and growing automotive group in Quebec, is seeking a Sales Secretary / Administrative Assistant for its Toyota Brossard dealership. You will work in a dynamic, structured, customer-service-oriented environment.
Responsibilities
- Prepare and track sales files: print, assemble and validate contracts before delivery; involvement during signatures at deliveries.
- Manage vehicle entry into inventory (stock numbers, CDK, DeskIt, folders, keys).
- Process sales and financing files: send documents, track disbursements, RDR, warranties, DVN.
- Prepare and account for vehicle purchases, manufacturer invoices and required payments.
- Prepare contracts (sale, wholesale) and perform SAAQ-Clic transfers.
- Verify file compliance: W/O, amounts, corrections, washouts, commissions.
- Handle claims (federal/provincial/manufacturer) according to applicable programs.
- Scan, file and archive files for accounting.
- Provide general administrative support to the sales, service and management teams.
- Support financial managers in their routine administrative tasks.
- Manage the discounting of sales files and ensure management of the SAAQclic service (registration of new vehicles, inventory transfers, etc.).
- Greet customers at delivery, have documents signed and participate in the vehicle presentation.
- File the documents and ensure documentary compliance.
- Follow product training and master the presentation during deliveries.
- Replace reception as needed.
- Conduct a compliance check before and after delivery, both in documentation and in computer systems (logs).
Profile sought
- At least 2 years’ experience as a sales secretary or receptionist – mandatory.
- Bilingual in French/English at an intermediate-advanced level (oral and written) to communicate with English- and French-speaking clients.
- Excellent command of Google Workspace (G Suite) – essential.
- DEP or DEC in accounting – asset.
- Ability to work with tight deadlines (notably at month-end).
- Strong customer service orientation, rigor, attention to detail and autonomy.
- Good organizational skills and ability to manage priorities.
