Job Description
Customer Service and Appointment Scheduling Clerk (Full-time)
We are looking for a dynamic person to join our after-sales team. You will help provide an exceptional customer experience while ensuring the administrative tasks related to customer service and operations follow-up.
This position is open to all, regardless of gender.
Job Objective
Ensure reception and administrative support for the after-sales service, managing appointments, client communications, and documentation related to repairs.
Key Responsibilities
- Respond promptly and courteously to customers' appointment requests and take messages for the team according to guidelines.
- Plan and manage after-sales service appointments in coordination with technical advisors.
- Confirm appointments and follow up until they are completed.
- Assist with opening and closing repair orders according to established standards.
- Alert a supervisor in case of irregularities related to the closing of repair orders.
- File and archive repair orders, invoices, and other documents; prepare a list of missing documents.
- Follow up with service customers and ensure proactive follow-up.
- Greet customers at the counter and advise the service advisors on vehicle needs.
- Present yourself in a professional manner and reflect the company's image.
- Assist with receiving parts orders and distributing them to technicians.
- Perform other tasks as needed and according to management's instructions.
Profile
- Excellent interpersonal skills and a customer service mindset.
- Organizational skills, rigor, and ability to manage multiple priorities.
- Team spirit and ability to work autonomously when necessary.
- Proficiency with computer tools and appointment management software; experience in after-sales service is a plus.
- Availability for a full-time position; ability to work on-site.
