Claims Clerk – Customer Warranty Claims Coordinator

Important information: we are hiring a proactive and organized individual to manage all manufacturer warranty claims, from preparation to submission, including payment follow-up and file compliance.

Job Description The successful candidate will be responsible for preparing, entering, and submitting manufacturer warranty claims. They will handle all warranty files, monitor payments, and ensure compliance with manufacturer and distributor criteria. Effective collaboration with various departments will be essential to ensure compliant and efficient claims management.

Main Tasks

• Process warranty claims for all franchises/manufacturers
• Record and document all entries related to warranty
• Verify criteria required by the manufacturer or distributor
• Reconcile amounts to be received and payments according to the schedule
• Record credits in the dedicated software
• Resubmit rejected claims or obtain approval to write them off
• Follow up on payments for pending claims
• Track warranty parts (labeling, repair order numbers, replacement dates, and availability)
• Organize the shipment of parts to the factory, distributor, or for retrieval
• Sort and archive after-sales files according to the director's instructions
• Stay informed about recalls and notices from the manufacturer
• Collaborate with the body shop on warranty-related claims
• Perform cashier or reception tasks if necessary
• Perform other administrative tasks as directed by the immediate supervisor

Required Profile / Qualifications

• Experience in claims or a related field (auto after-sales service)
• Solid knowledge of brands and their characteristics
• Excellent communication and interpersonal skills
• Ability to work effectively in a team
• Attention to detail and strong problem-solving skills
• Customer-oriented with a passion for providing outstanding service
